How do I add or remove fields from the Client Merlin?

Some centers don't like to keep clients' social security numbers in the WebCATS database. Other centers might track social security numbers, but perhaps have no interest in state senate information. Depending upon your center's operational guidelines, there may be certain fields that you wish to include or exclude from the Client Merlin.

To change the fields that are presented on the Client Merlin, you will need to update your database's global configuration settings from WinCATS. Only database administrators have the permissions necessary to configure these global settings.

To include or exclude fields on the Client Merlin, perform the following steps:

  1. In WinCATS, select File|Global Configuration and open the "Client Merlin" tab.
  2. Click the Customize button.
  3. From the scrollable list of fields, select or deselect those fields you would like to add to or exclude. Fields such as Center or Client ID are marked as "Mandatory" or "System" and may not be deselected because they have been deemed necessary to ensure the integrity of the database—either by WebCATS or by your program. Fields that are marked as "Invisible" are not available for selection because your program has made them invisible on the Clients or Contacts form.



  4. When you have finished your Client Merlin updates, click the Close button to save your changes. WebCATS users who are logged into WebCATS at the time you make the changes may need to log out and log back in again to see the updates.

Note: The steps described previously only affect the Client Merlin. They do not update the fields that display when viewing client or contact records. If you wish to make certain fields mandatory or invisible for these two record types, a database administrator must do so from the "Mandatory Fields" tab, which is also available from WinCATS' global configuration settings.
