How can I easily convert all of my bid match clients to the mybidmatch.com delivery format so that I can view the opportunities they receive on the Web?

If your center would like all bid matches for all clients to be posted to the mybidmatch.com Web site, there is a very easy way to make the mass transition: ask us to do it for you! Simply e-mail profiles@softshare.com or call 805-882-2588 with your conversion request. All you need to do is let us know on what date you would like the conversion to take place, and we'll take it from there.

OutreachSystems does all the work, but there are several things you should be aware of so that you understand exactly how the conversion takes place and its potential effect on your center and clients.

  • We only auto-convert active bid match clients. If you reactivate a profile that was inactive at the time of conversion, you'll need to manually set the client's E-mail Format field to "Web Mail (mybidmatch.com)" after you have reactivated the profile. In addition, we'll never convert Softshare EDI clients as their delivery method must always involve Softshare's EDI software.
  • Although we peform the conversion on the day you specify, it may take a day for the client records in your WebCATS database to reflect the new delivery format (i.e. the value in the E-mail Format field may not be updated immediately).
  • At your request, OutreachSystems can change the default value of the E-mail Format field to "Web Mail (mybidmatch.com)" so that all new client records automatically default to this delivery format.
  • OutreachSystems does not alert your bid match clients of the upcoming delivery format change. But we strongly recommend that you do so. An easy way to give your clients advance warning is to create a subset of all active bid match clients that are on a delivery format other than the mybidmatch.com format, and then send an e-mail to that client subset.

Why is the mybidmatch.com format so great? Because it allows you to view the bid opportunities your clients receive. When you set the e-mail delivery format for a client’s search profile to "Web Mail (mybidmatch.com)," the client's bid opportunities are posted to a unique Web page for viewing. You have access to all of your clients' www.mybidmatch.com Web pages and thus, their daily bid match output, from your center's master index URL which is accessible in WebCATS from within the center record, as shown next.
